Privacy and records

Libra Fides collects information needed to identify clients, keep their accounting and payroll records, prepare agreed returns and reports, and meet record-keeping duties that apply to the practice.

What we keep

This can include contact and identity information, beneficial ownership information, source documents, bank statement data, invoices, payroll and employee records, correspondence, compliance evidence and the records produced from them.

How information is used

Information is used only to deliver the agreed service, administer the client relationship, protect the integrity of the records, and comply with lawful accounting, tax, employment and financial-intelligence duties.

Storage and access

Operator access is restricted. Online intake links are private, source documents are kept outside the public website, and backups are encrypted before off-site storage. Information is not sold.

If technical error reporting is enabled, limited diagnostic information is sent to Sentry to identify application failures. Request bodies, query values, headers, cookies, personal user fields and private intake-link tokens are excluded. It is not used for advertising or visitor analytics.

Retention

Records are retained for the period required by the applicable duty and for as long as they are reasonably needed to support the service or a lawful claim. A deletion request cannot override a record-keeping duty.
